Wedding-Week Timeline vs. Wedding-Day Timeline
These two timelines look similar but serve different people and different jobs. Here is how to build and manage each one without losing track of either.
The short answer
A wedding-week timeline covers every event and task from the week before the wedding through departure, owned by the couple and family. A wedding-day timeline covers only the ceremony and reception day, owned by the planner or day-of coordinator and shared with vendors. Both need to exist, stay linked, and stay current, because a change to one often changes the other.
What is a wedding-week timeline for?
A wedding-week timeline exists to coordinate people, not vendors. It maps every personal and family event from the week before the wedding through the couple's departure, so nobody misses a rehearsal dinner or shows up at the wrong hotel for brunch.
This timeline is built for the wedding party, family, and close friends, not for vendors running the reception. It answers questions like when the welcome party starts, when out-of-town guests arrive, and when the couple needs to leave for their honeymoon flight.
- List every event from the week's start through departure day, not just the wedding
- Include arrival and departure windows for wedding party and immediate family
- Note dress code, location, and start time for each pre-wedding event
- Flag any event that requires a car, shuttle, or specific attire
- Share this version with family and wedding party, not with vendors
What is a wedding-day timeline for?
A wedding-day timeline exists to run one day with precision. It breaks the wedding day into specific time blocks for setup, hair and makeup, photos, ceremony, cocktail hour, reception, and breakdown, and it goes to every vendor working that day.
This is the document a planner or coordinator uses to keep vendors on schedule and catch problems before guests notice them. It is far more granular than the week timeline, often tracking events in fifteen-minute increments during key moments like the ceremony and grand entrance.
- Break the day into fifteen to thirty minute blocks during key transitions
- Assign a specific start time to every vendor arrival and setup task
- Include buffer time between photos, ceremony, and reception start
- Note who cues each transition, such as the DJ announcing entrances
- Send this version to every vendor working the wedding day
Who should own each timeline?
The couple or a family point person usually owns the wedding-week timeline, since it covers personal events across multiple days and locations. The planner or day-of coordinator should own the wedding-day timeline, since they are the one physically present and directing vendors during the event.
If you do not have a planner, one person needs to be named the owner of the day-of timeline in writing, even if that person is a friend or family member. Ownership means one person decides on the final version and communicates changes.
- Name the couple or a family member as owner of the week timeline
- Name the planner or coordinator as owner of the day timeline
- Confirm ownership in writing if no professional planner is involved
- Give the day-of owner authority to make small timing calls without approval
- Route all timeline change requests through the named owner, not multiple people
How much detail belongs in each timeline?
The week timeline stays at the level of events and general times, since its audience is family and friends who need the big picture, not a minute-by-minute schedule. The day timeline needs granular detail, because vendors are coordinating with each other in real time and small delays compound quickly.
A useful test: if a time slip would only affect personal plans, it belongs in the week timeline's level of detail. If a time slip would affect a vendor's setup or another vendor's timing, it needs the day timeline's precision.
- Keep week timeline entries at the event level, such as time and location only
- Add fifteen-minute detail to day timeline blocks during vendor handoffs
- Include buffer time in the day timeline, not in the week timeline
- Avoid listing vendor arrival times in the week timeline shared with guests
- Match detail level to who is reading the document
How does vendor distribution differ between the two timelines?
Vendors should never receive the full wedding-week timeline, since most of it is irrelevant to their work and includes personal details that do not need wide distribution. Vendors need the wedding-day timeline, and often only the portions relevant to their specific role.
Some planners create vendor-specific excerpts, sending the caterer a timeline focused on meal service and the photographer a timeline focused on portrait and ceremony timing. This keeps each vendor focused on their own responsibilities without extra noise.
- Send the full day-of timeline to planner, coordinator, and venue manager
- Send role-specific excerpts to vendors who only need part of the schedule
- Exclude personal week events from any document shared with vendors
- Confirm each vendor received and reviewed their timeline before the wedding week
- Resend the final version to all vendors if any time changes
How should personal events, setup, and deliveries be handled?
Personal events like the rehearsal dinner or morning-of hair and makeup belong in both timelines, but at different detail levels. The week timeline notes that hair and makeup happens Saturday morning; the day timeline lists exact start times for each person in the chair.
Setup and delivery windows belong almost entirely in the day timeline, since they are vendor logistics. Note when florals arrive, when rentals get dropped off, and when the venue opens for vendor access, and confirm these windows match what vendors listed in their contracts.
- List hair and makeup start times per person in the day timeline only
- Confirm vendor delivery and setup windows against contract terms in advance
- Note venue access start time separately from vendor arrival times
- Build in extra time before deliveries in case of early or late arrivals
- Assign one person to receive deliveries and confirm they match the order
How should contingencies and version control work?
Both timelines need a named backup plan for weather, delays, and no-shows, but the day timeline needs it in more operational detail since it affects real-time decisions. Build contingency notes directly into the day timeline, such as an indoor backup start time or a delay threshold before the coordinator calls the couple.
Version control matters most for the day timeline, since it changes more often as vendor details firm up. Label every version with a date, distribute only the current version, and retire old copies so nobody follows an outdated schedule.
- Add a weather contingency note directly into the day-of timeline
- Set a maximum acceptable delay before the coordinator flags the couple
- Label every timeline version with the date it was finalized
- Distribute the newest version and ask vendors to discard older copies
- Keep one master copy that only the named owner can edit
A few things couples ask next.
Do we need both a wedding-week timeline and a wedding-day timeline?
Yes, if your wedding has events beyond the ceremony and reception, like a welcome dinner, rehearsal, or next-day brunch. If your wedding is a single day with no other gatherings, the week timeline can be short and the day timeline does most of the work.
Who should own the wedding-day timeline?
Your planner or day-of coordinator should own and distribute it, since they are the one running the day and coordinating vendor arrivals. If you have neither, one person, often the couple or a designated point person, needs to hold the final version.
How far in advance should the wedding-day timeline go to vendors?
Most vendors expect a near-final timeline one to two weeks before the wedding, with a final version confirmed a few days out. Check each vendor's contract or intake paperwork for their specific preference.
What happens if the week timeline and day timeline conflict?
Treat the day timeline as the more precise, authoritative version for anything happening on the wedding day itself. Update the week timeline to match, then re-send the day timeline to vendors if the change affects their arrival or setup time.
Can one person manage both timelines without a planner?
Yes, but plan to spend real time on it. Build the week timeline first for personal and family events, then extract and expand the wedding day into its own detailed, vendor-facing version.
